Job Description:
As an Administrative Assistant, you will be the backbone of our office, providing essential support to our residential team and our offsite property management team.
Your attention to detail, excellent organizational skills, and ability to handle multiple tasks simultaneously will contribute to our success.
Key
Responsibilities:
Document Management:
Maintain and organize physical and digital files, ensuring easy access and confidentiality.
Scheduling:
Schedule appointments, property viewings, inspections and turns.
Correspondence:
Draft, proofread, and edit business correspondence, emails, and documents.
Data Entry:
Accurately input and update property information in our management system.
Backup Assistance:
Provide support and assistance to other team members as needed.
General Administrative Tasks:
Handle photocopying, scanning, filing, and other general office tasks as needed.
Vendor Coordination:
Liaise with vendors and contractors for property maintenance, repairs and turns.
Tenant Dispute Resolution:
Act as a point of contact for tenants to address and resolve disputes, ensuring effective communication and conflict resolution.

Qualifications:
High school diploma or equivalent (Associate's or Bachelor's degree in Business Administration or related field is a plus).
Proven experience in an administrative role, preferably in property management or a related field.
Proficiency in Microsoft Office Suite (Word, Excel, and Outlook) and basic knowledge of property management software.
Strong organizational and time management skills.
Excellent written and verbal communication skills.
Professional demeanor and a positive attitude.
Ability to handle confidential information with discretion.
Strong attention to detail and accuracy.
